Event administration
Face-to-face events
Administrators can access a range of features to support the set-up of new and repeat training events. The information recorded about each event is tailored for each client application but typically includes tutors, location, duration, event description, pre-requisites, price, maximum and minimum numbers and so on…
Once the event is defined the administrator can choose to publish it to an online training catalogue or to create a URL which can be emailed to a group of learners.
Course templates for regular events
Popular or regularly run courses can be defined as templates
easing the set-up process for repeat events. Course pre-requisites,
pre and post course work, joining instructions and other standard
information about the course can be defined in the templates.
When setting up a repeat event, users add event specific
information such as dates, locations and tutors.
Manage and monitor enrolments
Central or decentralised (e.g. departmental) administrators can
also book participants onto events or place them on a waiting list
using the registration features.
EASE Centre monitors enrolments, checking they do not exceed maximums (other than where over-booking is enabled) and providing cancellation options if they are below the minimum. EASE Centre permits overbooking by administration staff to allow for cancellations.
Manage waiting lists
When courses are full, wait list features direct applicants to
alternative programmes and/or maintain their details so that they
can be informed when a place becomes available or a new event is
set-up.
Distribution of course instructions
EASE Centre generates joining instructions for course participants and enables pre-course work plus other relevant information to be sent by email. Participants are sent reminder emails in advance of the event, together with any post course activities and evaluation forms.
Improved resource productivity
Where EASE Centre is used in conjunction with the EASE Conference module then tutor, trainers or other support staff, together with venues, room layouts and training equipment can all be scheduled for specific events, including preparation and wind-up time, thereby allowing a new event to be planned and resources reserved.
Staff or third party resources receive email notification of new commitments when scheduled, along with any cancelled events.
Learning registration
Training portals
The online Training Catalogue enables the promotion of training events, self study resources and development programmes. Users can search by keyword, training type (e.g. CD-ROM) or by competence. If self-registration is enabled, users can check availability, register and make payments online if appropriate, for immediate confirmation and access to learning programmes.
Reduced administration
EASE Centre provides options for self-registration reducing the administrative cost of managing training. Users can book directly through the Training Catalogue and EASE Centre emails participants and their line manager (if relevant) a registration confirmation.
User management
Administrators can register new support staff and set access security permissions for assigned roles. Learners can also be registered, with an online access username and password (if required) and records archived when no longer required. In addition, authorised non training department staff or client staff can be registered to allow remote course bookings to be processed.
Offline resources
Learning resource centres
This allows all off-line learning resources (e.g. videos, CD-ROM’s) to be registered, managed and promoted through the training catalogue. The information typically includes title, synopsis, author, publisher, category, material type, level of difficulty, special needs and pack locations.
Users can order resource packs online
Users can search the catalogue (see above) to access product descriptions and book the resource online. An email is sent to the learning centre notifying of the booking and requesting dispatch. Email confirmation is also sent to the individual and line manager (if relevant). Resource centre staff can also book materials to clients and manage waitlists when requested resources are not in stock. System emails are automatically generated when dispatches occur.
Automatic tracking of resources
A loan period can be set for each resource. When the resource becomes overdue, EASE Centre™ emails the individual to remind them. Overdue reports are available for administrators.
Management reporting
Report generator
The EASE Report Generator performs fast query searches and retrieves information from the database according to user defined criteria. Bespoke reports can also be created and interfaces created for third party tools.
The reporting tool supports the calculation of ROI enabling evaluation of learning activities against a range of criteria including organisational goals and competences.
Learner histories
A full learner history is maintained for each individual and can be easily analysed and summary reports produced.
Learner evaluations
Evaluation forms can be created and distributed for completion online or through print. Results can be summarised or analysed in reports.
